JOB DESCRIPTIONS FOR 2007-2008

 

ADMINISTRATIVE ASSISTANT 2

*The Administrative Assistant is a shared resource among all administrators.
*He/She will support the Business Manager to ensure the school is complying with internal and external policies and procedures.
*He/She will provide the following support:

1.Creates and maintains student and parent data on eSchool database for routine and emergency use
2.Creates and maintains student filed to include all pertinent and required school records and documentation
3.Handle inputting data in regards to transportation, such as, talking to bus company, handling parent questions and filing the paperwork that comes in regarding transportation
4.Maintains accuracy of District 4 Forms & eSchool Database
5.Assigns new student ID numbers through DELSIS system
6.He/She will communicate to Administrations any facility issues requiring follow-up and enforcement of vendor contracts

*Organize and maintain all employee paper files.
*Order supplies and materials for classrooms.
*Maintain and order all supplies for office.
*Provide support to School Director and Administrative Staff to aide in running organization efficiently.
*In Addition, the Administrative Assistant also handles the tasks at the discretion of Administration and/or other staff.

ADMINISTRATIVE ASSISTANT 1/FINANCIAL SECRETARY

*He/She will report to the Business Manager.
*He/She is responsible for daily cafeteria operational procedures as required by Administration and external regulatory agencies.
*The duties  the he/she is responsible for include:

1.Plan and direct the preparation and serving of all food in the cafeteria
2.Prepare timely and accurate orders for products needed
3.Ensure that approved menus are followed correctly
4.Maintain accurate inventory of all food supplies purchased and used weekly
5.Complete and forward forms and/or others to Administration and/or other staff as required
6.Ordering Uniforms along with collecting money for them and filing the proper paperwork for individual sales
7.Responsible for the quality and security of the food served
8.Responsible for adherence to federal, state, and local regulations
9.Oversees and participate on the preparation, service, and clean-up as needed
10.When present in the kitchen, serves as the Person In Charge (PIC), as specified by the Delaware Department of Health
11.Report to administration, any problems or accidents occurring in the kitchen or cafeteria
12.Give monthly analysis of meal program average number of students eating & costs
13.Acquire and maintain free & reduced lunch data
14.Give recommendations, suggestions concerns regarding meal program.
15.Maintain adequate records

*Responsible for administrative functions related to food service, accounts payable, and facilities management.
*Administrative duties performed under the food service program will consist of updating student meal accounts and other related databases, implement procedures for the collection and tracking of payment for meals, and ensure the school is in compliance with applicable requirements.
*Facilities management will consist of monitoring the work efforts of maintenance/custodial staff and/or vendors.

BUSINESS MANAGER

*Manage the domains under his/her influence by implementing a system of internal controls and best practices to assist in meeting the school's goals.
*Dual reporting relationship to the Head of School and the Board President.
*Assist in the management of the school's finances and operations as outlined in the schools organizational Chart and Plan for Overall Financial Management.
*He/She is responsible for the following areas:

1.Finance, to include Unit Count (eSchool) and local district billing
2.Human Resources, to include Payroll
3.Transportation
4.Food Service
5.Provide support for facilities management
6.Financial Backup Reviewer
7.Grants, Annual Reports Analysis, and Audit Preparation
8.DEEDS, DFMS, PHRST

*Directly responsible for finance, as outlined in the school's Overall Financial Management Plan and Human Resources.
*Directly responsible for managing the Food Service Program. Ensuring the school is in compliance with all applicable laws.
*Setting up procedures for the collection and tracking of meal payments.
*The Business Manger will also be supported by an Operations Support person, Food Service person, an Administrative Assistant, and the Maintenance/Custodial staff.

FOOD PREPARATION SPECIALIST

*Create menu for each month.
*To be written up and turned into front desk 2 days before the last day of the month.
*Duties of this Specialist will include:

1.Serve students as efficiently as possible
2.Purchase all needed items for each meal on a timely basis (All items should be on hand for each meal as needed)
3.Left over items are to be used the next day if there are any, and they are still good for use. After that they should be disposed of
4.NO food items are to be left out overnight for any reason
5.Kitchen is to be kept clean at all times

OPERATIONS SUPPORT PERSON/RECEPTIONIST

*He/She will report to the Business Manager
*He/She will also provide support in other areas as directed by the Business Manager or Head of School
*The duties that he/she will handle include:

1.Answer phones and direct the calls
2.Input daily dismissal status
3.Receive and send out all mailings
4.Receive and enter doctor's notes
5.Receive and request records for students. Sign and make copies of all the documents regarding records
6.Greet families
7.Distribute all health info to nurse
8.Maintain accurate logs for sign-in and sign-out of students to early dismissal and tardiness
9.Schedule meetings and events, to include invitations, reminders, interviews, materials, RSVP's and etc.
